The file you saved last month and cannot find

14 October 2026 · KJR Labs

Say you need a rent receipt from a few months ago. You know it exists. You saved it some time in summer. You know the amount, and you know the landlord's name is on it. You do not know the file name, and you do not know the folder.

So you do what everyone does. You open Downloads and sort by date. You scroll. You open six PDFs called something like scan_0034.pdf. You type "rent" in the search box and get a spreadsheet from 2023 and a photo of a rental car.

Twenty minutes later you find it. It is a phone photo of a paper receipt, forwarded on WhatsApp and saved as IMG-20260611-WA0007.jpg. There is no word in that name that you could ever have typed.

File names are a promise we do not keep

The whole system of files and folders assumes that when you save something, you give it a good name and put it in the right place. Most of us did that for a while. Then the number of files grew faster than our patience.

Today a normal laptop holds tens of thousands of documents, screenshots, scans, voice notes and videos. Most of them arrive with names chosen by a scanner, a phone or a website. Nobody renames them. Nobody files them. They sit in Downloads and Desktop until the day you need one.

What the built-in search does

Spotlight on the Mac and the search box in Windows are good at file names and at the text inside simple documents. They are much weaker with the files that cause the most trouble:

  • a scanned PDF, which is only a picture of text
  • a screenshot of a payment or an error message
  • a photo of a whiteboard or a paper bill
  • a voice note where someone told you a date or an amount

For these files, the words you remember are not stored anywhere your computer can search. So you scroll.

Search by what you remember

We built Khoj because the way people remember files does not match the way computers store them. You remember "the receipt with the landlord's name" or "the slide with the hiring plan". You do not remember scan_0034.pdf.

Khoj reads each file in the folders you choose. It reads text on pages, text inside photos and scans, what people say in recordings, and what is shown in a video. Then you press a shortcut from any app and type a few words about the file. Type "rent receipt June" and the WhatsApp photo is in the results.

You do not need to rename anything or move anything into a new folder. The files stay where they are. Khoj only learns what is in them.

It should not cost you your privacy

A tool that reads every file you own must be careful with them. Khoj does all of its reading and searching on your own computer. It works with Wi‑Fi off, and no file, search or result is sent to a server. We wrote more about that in a separate post.

The next time you are about to sort Downloads by date and scroll, try typing what you remember instead.
